Position:
Program Management Specialist at ADVAXIA S.R.L.
Advaxia is a GMP-certified Contract Development and Manufacturing Organization, located in Pomezia (Rome) within the IRBM Science Park. The company is fully dedicated to research, development and production of clinical lots of recombinant adenoviruses to support clinical trials for vaccine and gene therapy applications. Our GMP is authorized to produce investigational medicinal products by the Italian National Regulatory Authority (AIFA) and it is fully in compliance with the regulatory guidelines of both FDA and EMA. Over the years, the team has built an outstanding track record in the successful process development and production of clinical lots (including SARS-CoV-2 vaccine) and is committed to the highest quality standard.
Job Description:
The Business Development & Program Management departments are seeking a qualified and highly motivated Specialist to coordinate the planning, tracking and administration of specific projects within the biologics/life science fields. In this role, the candidate will work within a cross disciplinary team from different departments (as scientists, business and corporate staff) to monitor, control and report programs in the complex scenario of the R&D and GMP manufacturing area. Technical understanding of PM principles will be required to prepare and provide detailed Gantt charts to help the planning, controlling and reporting phases of projects, research and related expenses (materials and labour) supporting the work to monitor milestones, timelines, deliverables, resources and costs allocation to ensure that project goals are being met. Selected candidate will work closely with the scientific, financial, administrative, and business development teams to also lead the proposal process for prospective new clients.
Key responsibilities:
- Coordinating and overseeing the completion of estimates and/or proposals for new opportunities and/or completion of Requests-for-Proposals (RFPs) or Requests-for-Information (RFIs);
- Ensuring that all projects are delivered on-time;
- Organize and participate to project meetings (virtual and on-site) with current and prospective customers;
- Overseeing all project funds, monitoring cash flow projections and reporting actual cash flow and variance to senior management on a regular basis;
- Preparing financial reports and supporting documentation;
- Creating and maintaining comprehensive project documentation;
- Serving as a liaison with scientists, business developers and Corporate offices, to assist the flow and exchange of information;
- Regularly reports progress and any issues to more senior management;
- Analyzes requirements with the project sponsor/customer or senior colleagues, designs the implementation proposal, and evaluates the feasibility.
Skills required:
The successful candidate will be qualified with a Bachelor or Master degree (preferred) or equivalent in scientific subjects (life science, engineering, chemistry or biology preferred), good knowledge of project management tools and have a minimum of 5 years relevant experience in the same role.
In addition to a sound knowledge of the contract development and GMP manufacturing space, candidates will need to show evidence of the following:
- Proven working experience as scientific project administrator;
- Proficiency with the Project Management's discipline and best practices (PMP certification is a plus);
- Proficiency with computer and technology skills (including Outlook, PowerPoint, MS Word, MS Project and Excel) and ability to analyze large data set;
- Ability to work under pressure and tight deadlines;
- Good/excellent level of written and spoken English;
- Experience in client facing roles is a plus;
- Discretion and an understanding of confidentiality issues.
